Client Terms and Conditions

Effective: May 2026 | Version 1.1 — Applies to all Atelier, Atelier Couture, and Core Studio Collection bookings

These terms form a binding agreement between you (the Client) and Riley's Dance Designs. By submitting a booking form and making any payment, you confirm that you have read, understood, and agreed to every clause in this document. Please read it carefully before booking.

Important Notice

Riley's Dance Designs produces fully custom, made-to-order competition costumes and dancewear. Because every piece is created specifically for you, the protections that apply to standard retail purchases do not apply in the same way. This document sets out clearly what you are agreeing to, what we promise to you, and what happens if something goes wrong. These terms apply to all clients worldwide, including clients based in the United States, United Kingdom, Canada, European Union, Australia, Asia, and all other territories. Where your local consumer protection law provides rights that cannot be excluded, those rights remain in place. However, where permitted by law, the terms below apply in full.

1. Booking and Acceptance

1.1 Our Three Tiers

Riley's Dance Designs offers three booking tiers. Each is distinct in what it includes and what rights it carries.

1.2 Atelier Bookings

Atelier is our fully bespoke design service. All Atelier bookings are subject to our review and approval before they are confirmed.

1.3 Atelier Couture Bookings

Atelier Couture is our highest tier. It includes everything in Atelier, plus full season exclusivity over your design.

1.4 Core Studio Collection Bookings

The Core Studio Collection offers instant booking on designs from our current collection. The Holding Fee paid at booking is a slot reservation fee deducted from your final balance. It is not the same as your final payment.

1.5 Priority Access

Any client who booked with Riley's Dance Designs in the previous competition season qualifies for Priority Access the following season, across Atelier, Atelier Couture, and Core Studio Collection.

2. Payments

2.1 Payment Structure

All bookings follow a staged payment structure:

2.2 Payment Deadlines and Automatic Slot Forfeiture

Payment deadlines are stated clearly on every invoice. We do not send payment reminders or chase clients for payment. If payment is not received by the due date on your invoice:

If you know in advance you cannot meet a payment deadline, contact us before the due date. We cannot make exceptions after the fact, but we may be able to assist if you reach out early.

2.3 Payment Methods and Currencies

Riley's Dance Designs accepts payment in any major currency. Prices shown at booking reflect the currency of your region. Exchange rates applied include a buffer to account for currency fluctuation and are fixed at the time of your invoice.

2.4 Design Change Fee

A design change fee of $50 USD (or the equivalent in your invoiced currency at the prevailing exchange rate) applies to any approved design change requested after your deposit has been paid.

2.5 Rush Orders

Rush orders may be available for both Atelier and Core Studio bookings on a request basis. Rush availability is not guaranteed and is assessed at our sole discretion. A rush fee applies, set by us at the time of the request. Contact us to discuss before booking.

3. Design Process and Approvals

Design approval must be given in writing via email or through our booking system. Verbal approvals are not accepted. Your written approval confirms that:

3.3 Measurement Submission

Measurements for all tiers must be submitted at the time of booking as part of the booking form. We will not accept or confirm a booking without complete measurements. This applies to both Atelier and Core Studio orders.

4. Production and Delivery

4.1 Lead Times

These are minimum lead times. Actual production may be longer depending on complexity and current schedule. If your deposit is paid late, your lead time starts from deposit clearance. We are not responsible for delays resulting from late payment.

4.2 Delivery Week

Your delivery week refers to your shipping and dispatch week, not the date the costume arrives. We recommend planning to receive your costume at least 3 to 4 weeks before your first competition to allow for courier delays or customs clearance outside our control.

4.3 Delays

Riley's Dance Designs is not liable for delays caused by customs, couriers, force majeure, natural disasters, strikes, pandemics, late measurement submission, late design approval, or late payment.

4.4 Shipping Responsibility

Risk of loss passes to you at the point of dispatch. We will provide tracking for all shipments. If a package is lost or damaged in transit, you must raise a claim directly with UPS. We will provide supporting documentation but are not financially liable for transit loss. Any customs duties, import taxes, or fees imposed by your country are your sole responsibility.

5. Final Sale, Returns, and Cancellations

5.1 Final Sale Policy

All custom costumes and made-to-order garments are final sale. Riley's Dance Designs is a small independent business and we are not in a position to absorb the cost of returns on bespoke garments created specifically for you. We do not accept returns, exchanges, or refunds on the basis of change of mind, sizing issues resulting from incorrect measurements, or competitive results. This policy applies to clients worldwide. Custom and made-to-order goods are exempt from standard distance selling return rights in the vast majority of global jurisdictions. Where mandatory statutory rights exist that cannot be excluded by contract, those rights remain unaffected.

5.2 Our Fault — Replacement Policy

If your costume arrives with a production defect solely attributable to Riley's Dance Designs, we will remake or repair the affected element at no charge. To claim:

We do not accept defect claims for natural fabric behaviour, normal variation in hand-finished work, size deviations within the one-inch tolerance in Section 3.2, or damage caused by wear, storage, or alteration after delivery.

5.3 Cancellation Policy

All cancellation requests must be in writing.

5.4 Chargebacks and Disputes

By booking with Riley's Dance Designs, you agree to contact us directly to resolve any dispute before initiating a chargeback or bank dispute. We retain full records of all bookings, design approvals, communications, measurements, payments, and shipping documentation. We will contest any chargeback we believe to be fraudulent or filed in bad faith, and will submit all available evidence to your card provider and, where appropriate, to relevant legal authorities. Any client who initiates a fraudulent or bad faith chargeback will be permanently banned from booking with Riley's Dance Designs. Riley's Dance Designs reserves the right to pursue civil legal action for damages, loss of earnings, and associated costs.

We are a small independent business. If something is wrong, contact us first. We want to resolve things fairly and directly.

6. Intellectual Property and Design Rights

6.1 Ownership of Designs

Riley's Dance Designs retains full and exclusive ownership and copyright of all original sketches, patterns, design concepts, technical drawings, fabric selections, trim choices, and finished costume designs, whether or not a costume based on those designs is produced. Purchasing a costume grants you the right to wear and perform in that costume. It does not transfer any ownership of or rights in the underlying design, sketch, or construction method.

6.2 No Copying or Reproduction by Clients

You may not reproduce, copy, photograph for the purpose of reproduction, or commission any third party to replicate any design created by Riley's Dance Designs. This includes sharing sketches or photographs of finished costumes with another maker for the purpose of replication.

6.3 Enforcement of Intellectual Property Rights

Riley's Dance Designs takes the protection of its original designs seriously.

If you believe a design you have seen may be based on a Riley's Dance Designs original, please contact us directly.

6.4 Riley's Dance Designs Reproduction Rights

6.4a Previous Seasons. Any design produced before 1 September 2026 is available for Riley's Dance Designs to reproduce for other clients immediately and without notice. No exclusivity applies to previous season designs.

6.4b Atelier Couture — From 2026/27 Season Onwards. For all Atelier Couture bookings from 1 September 2026, Riley's Dance Designs will not reproduce your design for any other client for the duration of the current competition season. The competition season runs from 1 September to 31 July. Exclusivity expires automatically on 31 July regardless of when within the season you booked. From 1 August, your design returns to Riley's Dance Designs. We may draw on it for inspiration or evolve it for other clients. The exact costume will not be identically remade without meaningful change. Exclusivity does not carry forward. A new Atelier Couture booking is required to protect your design in a future season.

6.4c Atelier — From 2026/27 Season Onwards. For all Atelier bookings from 1 September 2026, Riley's Dance Designs may reproduce your design for other clients, including in the same colours, after 90 days from your booking confirmation date. If season exclusivity matters to you, book Atelier Couture. This cannot be changed after booking is confirmed.

6.4d Core Studio Collection and Dancewear. For all Core Studio Collection and dancewear orders, no exclusivity applies. Riley's Dance Designs retains the right to reproduce, sell, and offer any design, colourway, or style to any number of clients at any time without restriction or notice.

6.5 Media and Photography Rights

By booking, you grant Riley's Dance Designs a non-exclusive, royalty-free, worldwide licence to use photographs and video of your costume for marketing and portfolio purposes across all media, including social media, our website, and print. This licence extends to any media sent to us directly, shared with us via email, submitted to our Google Drive, or in which Riley's Dance Designs is tagged or mentioned on any social media platform. By tagging us or sending us media, you confirm you have the right to share that content and grant us permission to use it for marketing purposes. If you do not wish your costume used in our marketing, notify us in writing at the time of booking.

7. Measurements and Fit

All measurements must be submitted at booking via the booking form. We will not accept or confirm a booking without complete measurements. This applies to Atelier, Atelier Couture, and Core Studio orders. Please note that an allowance of 1 to 2 inches in any direction should be expected on all costumes. This is a standard characteristic of garment construction and does not constitute a defect. We are not responsible for fit issues resulting from incorrect measurements, measurements not taken in accordance with our measurement guide, body changes between booking and delivery, or failure to request a growth allowance at booking. Measurements are locked in at booking. Contact us immediately if you need to correct a measurement error before production begins.

8. Design Standards and Modesty Policy

Riley's Dance Designs is a modesty-forward brand. All designs are created with considered coverage as a core design value. We do not produce costumes that, in our professional judgement, provide inadequate coverage for performance. We reserve the right to decline or modify any brief that conflicts with our design standards. If agreement cannot be reached, we reserve the right to decline the booking.

9. Governing Law and Disputes

9.1 Governing Law. These terms are governed by the laws of England and Wales. Riley's Dance Designs' business registration details will be updated in a future version of this document upon completion of formal registration. Current contact details are available on request and on all invoices. For US clients: disputes will first go to good faith negotiation, then binding arbitration if unresolved, rather than court litigation. Your statutory consumer rights are not affected. For EU clients: your mandatory consumer rights under EU law remain in place and are not excluded. For clients in Australia, Canada, Asia, and all other territories: applicable consumer protection rights are not excluded by these terms.

9.2 Dispute Resolution. If you have a concern, contact us at the email address on your invoice before taking any other action. We respond within 3 business days and aim to resolve all issues directly.

9.3 Limitation of Liability. To the fullest extent permitted by law, Riley's Dance Designs' total liability for any claim is limited to the total amount you paid for that specific booking. We are not liable for competition fees, travel costs, accommodation, lost prize money, or any indirect or consequential losses.

10. Privacy and Data

We collect and hold your personal data, including name, contact details, measurements, and payment records, solely to fulfil your booking and communicate with you about your order. We do not sell your data. We share it only where required to fulfil your order, such as providing your shipping address to UPS. You have the right to request access to, correction of, or deletion of your data at any time. Contact us at the email on your invoice. Data is held in accordance with applicable data protection law.

By making payment, you confirm you have read and agreed to these terms in full.
